Accounting firm client portal: documents, deadlines and requests in one place

An accounting firm client portal is a private, branded space where each client uploads their documents, sees upcoming deadlines and knows what they still owe you. Your firm stops chasing paperwork through email and WhatsApp, and everything ends up sorted by client and by month.

It doesn't replace your accounting software. It handles what happens before it: getting the paperwork in on time, which is exactly where most firms get stuck.

The week before a deadline

Anyone who's worked at an accounting or bookkeeping firm knows the scene. A filing deadline is days away and half your clients haven't sent anything. The ones who did used whatever channel was handy: an email with a pile of unnamed attachments, crooked phone photos sent at 11 p.m., an envelope left at the front desk. And there's always the client who swears they sent it last week.

Then someone at the firm has to download everything, rename it, file it in the right folder and track in a spreadsheet what's in and what's missing. Nobody bills for that work, and it happens every single month.

What clients see when they log in

A few things, made very clear, because your clients don't want to learn a new system:

  • What's still missing this month, with an upload button for each item, from their phone or computer.
  • Their upcoming deadlines in a simple list: what they need to pay and what they need to do themselves.
  • What your firm left for them: filed returns, payment confirmations, statements, all in one place instead of buried in their inbox.
  • A place for questions that gets saved to their record, so anyone at the firm knows what was discussed.

What your firm sees

  • The month at a glance: which clients sent everything, which are incomplete and which haven't sent a thing.
  • Clients by staff member: each person sees their own clients, and the partner sees everyone.
  • One-tap reminders: only to clients missing something, listing exactly what's missing, instead of the same generic message to everyone.
  • Each client's history: what they uploaded, when, who reviewed it and what was sent back.

Real case

A real “everyone uploads their own” example: Pérez Palermo

Pérez Palermo is a visual artist. His website has a catalog of works organized by period, with a page for each piece, and he adds them himself without depending on anyone. Different field, same idea behind a client portal: the person who has the information puts it in the right place directly, and it stays organized without someone else tidying up.

What to settle before building it

Every firm works differently, so a few questions come first: what kinds of clients you have (sole proprietors, companies, employers), what documents you need from each type, who on your team handles whom, and how far ahead reminders should go out.

It's also worth planning the portal together with your firm's website, so clients log in from there. I wrote about that in website for accountants. And since this is sensitive information, have a look at website security basics and backups for business software. Data protection rules vary by country, so check yours with a local professional.

If you're also looking for new clients

An organized portal is also a selling point: it shows prospective clients that your firm has things under control. If your practice works with businesses in Argentina, LeadsLocales, a platform I built, finds local businesses by industry and area with their public contact details.

I work remotely from Buenos Aires, Argentina (UTC−3), with video calls and progress you can open from a link. I quote each project separately.

Frequently asked questions

Will my clients actually use it? Some of them aren't great with technology.

That's why it's kept as simple as possible: they open a link on their phone, snap a photo of the receipt and they're done. Nothing to download. And your staff can keep accepting documents by WhatsApp from clients who won't switch, and upload them to the portal on their behalf.

Is it safe to keep client information there?

It's sensitive information and it's treated that way: each client only sees their own files, staff only see the clients assigned to them, every action is logged and there are regular backups. What your local data protection law requires is worth reviewing with a professional where you are.

Does it replace my accounting software?

No. Your accounting software keeps doing its job. The portal organizes what happens before and around it: collecting documents, flagging deadlines and knowing what's missing from each client.

Can it carry my firm's logo and colors?

Yes. It's yours: it has your firm's branding and can live inside your own website, so clients feel they're logging in to your firm, not to some third-party platform.

Your project

If month-end at your firm means chasing documents, message me on WhatsApp at +54 9 11 6193-3176 or email contacto@facundocampo.com.ar. I answer in English and Spanish. Tell me how many people work at the firm and how documents reach you today, and I'll suggest how to organize it.
