Event venue booking system: dates, deposits, quotes and every event on track

Event venue booking system: dates, deposits, quotes and every event on track

An event venue booking system keeps the date calendar, deposits and payments, quotes and everything you need to know about each event in one place. It's built for banquet halls, private estates rented for parties, wedding venues and spaces that host corporate events.

The difference from a regular booking app is that a venue doesn't sell one-hour slots. It sells a date, months in advance, and between the first message and the night of the event there are site visits, quotes, changes, payments and a list of vendors. All of it needs to live in the same place.

A date is the one thing you can't restock

A venue sells something with no backup inventory: that perfect Saturday in spring happens exactly once. If it gets sold twice because one booking was in the notebook and another in the manager's WhatsApp, a discount won't fix it. And if it sits empty because a couple was “thinking about it” and nobody followed up, that's income you don't get back.

So the first thing the system does is give you a single calendar per space that your whole team sees. A date is open, on hold or confirmed. There's no fourth option.

Holds that expire on their own

This one detail brings more order to a venue than anything else. A family tours the place, loves it, but needs to talk it over. You hold the date for a few days. In the system, that date goes on hold with an expiry: when the day comes and there's no deposit, you get a reminder to reach out, and if they don't confirm, the date opens up again.

Nothing slips through, and you don't turn down another inquiry for a date nobody actually booked. The follow-up message comes ready to send on WhatsApp: you tap a button and it's done.

What the system tracks at each stage

StageWhat gets recorded
InquiryRequested date, type of event, rough guest count and where they found you
Site visitDay and time, who showed them around and what caught their interest
QuoteEach version of the PDF quote, with what's included and what isn't
BookingDeposit received, date confirmed and locked on the calendar
PaymentsEvery payment and what's left, with a reminder before each due date
Event weekTimeline, menu, outside vendors, setup and day-of contact
AfterwardsWhether it's fully paid, any damage, and the review you asked for

“I close bookings in person”

That's fine. The system doesn't replace the site visit, which is where people fall in love with the place. What changes is what happens before and after. Before: inquiries arrive with the details filled in, not a bare “how much?”. After: the quote you send looks sharp, the deposit is on record, and every change (more guests, a different menu, an extra hour) goes on the event sheet instead of living in someone's head.

If you'd like couples or companies to see the room set up with their tables before they visit, I covered that in 3D floor planner for event venues. And to get found on Google, I wrote about a website for event venues.

Real case

A real project with the same logic: PDF quote, then a WhatsApp inquiry

For EQUIBOX, a horse stall and stable manufacturer near Buenos Aires, I built a quoting tool where the customer puts together what they need, downloads a PDF quote and requests the final price on WhatsApp; the company tracks each inquiry in its CRM. A venue doesn't sell stables, but the path is similar: the customer chooses, gets a clear quote, and the inquiry is on record for follow-up. I wrote about automatic PDF quotes on the Estructuras 3D blog.

How we'd build it

I work on my own, remotely from Buenos Aires, Argentina (UTC−3), with video calls and progress you can open from a link. We start with the calendar and deposits, because that's what hurts most when it fails; quotes, payments and the event sheet come in the second stage. Every venue runs differently, so I quote each project separately. If you're wondering what that collaboration looks like day to day, I wrote about working with a remote developer.

Frequently asked questions

Can customers see open dates on my website?

Yes, if you want. The usual approach is to show only whether a date is available, with no details about other events, and have the inquiry come in with the date, type of event and rough guest count. If you'd rather not show availability, the calendar stays internal.

Does it work if I have more than one room or space?

Yes. Each space gets its own calendar (the main hall, the garden, the covered patio) and you can view them all together. If an event uses two spaces, both get blocked.

Can I take the deposit online?

You can, but many venues prefer to take the deposit in person or by bank transfer after the site visit. The system records the deposit and payments however they come in and shows what's still owed for each event.

What about the events I already have written down?

We enter them before launch, starting with the confirmed ones that have a deposit. That way the calendar starts out complete and there's no risk of selling a date that was already taken.

Your project

If you run an event venue and your dates are split between a notebook and WhatsApp, message me on WhatsApp at +54 9 11 6193-3176 or email contacto@facundocampo.com.ar. I answer in English and Spanish. Tell me how many spaces you have and how you close a booking today, and I'll tell you how I'd organize it. See more of my work in [projects](/en/proyectos).
