Automatic PDF quotes: how to stop building them by hand

An automatic PDF quote is one the system generates from what was chosen: it calculates the amounts, fills in the customer details and builds the document in one click, the same way every time. It takes away the work of copying a template, changing numbers and exporting, and it also takes away the errors that come with that.

Here is what it should include, what options there are to generate it and how I built it for EQUIBOX, where the PDF carries the 3D render of whatever was quoted.

What problem does it solve?

In many small businesses, quotes are made like this: open the last one you sent, change the name, the sizes and the prices, export to PDF and send it over WhatsApp. It works until it does not: an old price nobody updated, an item left over from the previous customer, a miscalculated discount, a sales rep using a different version of the template.

When the quote comes out of a system, prices live in one place, the system does the math and the format is always the same. The sales rep focuses on understanding what the customer needs, not on fighting a spreadsheet.

What should a good PDF quote include?

  • Customer details and date. So the quote can be found later and everyone knows how long it is valid.
  • What is being quoted, in detail. Sizes, model, options and accessories. If the customer cannot recognize their order by reading the PDF, they will come back with questions.
  • An image of what was quoted. If you make things to measure, showing what the customer designed is worth more than any description.
  • Amounts, broken down. Product, shipping, installation, discounts.
  • Payment options. Cash, installments or whatever financing plan you offer.
  • Next steps. Who to contact and how.

How does the EQUIBOX quote work?

At EQUIBOX, a horse stable manufacturer in Berazategui, near Buenos Aires, the system generates two different documents depending on who uses it.

Buyers who visit the public configurator design their stable step by step and, at the end, download a PDF spec sheet with their configuration and the 3D views, then send the quote request over WhatsApp. The spec sheet has no prices: it is the starting point for EQUIBOX to reply with the quote.

The sales rep, logged in with their own account, generates the PDF quote with the amounts: price of the configuration, shipping calculated per kilometer, coupons, payment method. The WhatsApp message comes out ready too.

In both cases, the PDF comes out instantly, with sharp, selectable text, and it includes the isometric view and the floor plan taken from the same render the customer saw, plus photos of the selected accessories. What was quoted and what is on paper are exactly the same.

Why add a product image to the quote?

Because a customer who gets a PDF with a list of measurements has to imagine the result, and one who gets an image of what they ordered does not. With made-to-measure products, that prevents misunderstandings: if the customer sees they chose one wall too few, they fix it before signing, not when the order arrives.

At EQUIBOX the image is not a catalog photo: it comes from the 3D render built with the chosen sizes. I explained how that 3D works in what an online 3D configurator is.

What about sending it over WhatsApp?

In Argentina, quotes are sent over WhatsApp, the main business channel in the country. There is no point fighting that: the best thing is for the system to write the message with everything needed so the sales rep only taps “send”. In the EQUIBOX public configurator it works the other way around: the buyer sends the request over WhatsApp with their configuration, and the factory receives the full order instead of a “hi, price?”.

On top of that, every new quote request reaches the factory as an email alert, so it does not depend on someone checking the phone.

How much does it cost?

If what you need is a quote with a fixed price list, an existing tool will probably do. If the quote depends on sizes, combinations, shipping and financing, you will want it inside your own system. There, the cost depends on how many products and options there are, the pricing rules, whether it carries an image of what was quoted and what it connects to; send me a sample quote and I will send you a fixed proposal within 48 hours. What to look at when comparing options is in how much a website costs.

The PDF generator almost never comes alone: it usually goes with the quoting tool and the follow-up. I explain how all of that fits together in sales system and CRM for manufacturers.

Frequently asked questions

What is an automatic PDF quote?

It is a quote the system builds from what the customer or the sales rep chose: it calculates the amounts, fills in the details and generates the PDF in one click, always with the same format. Nobody copies a template or tweaks numbers by hand.

Can I do it with Excel or Word?

For a few quotes, an Excel or Word template is enough. The problem shows up when there are many, when several sales reps are involved or when the price depends on many options: that is when errors slip in and everyone ends up with their own version of the template.

Can it be sent straight over WhatsApp?

Yes. At EQUIBOX, when the quote is finished, the system writes the WhatsApp message with the configuration and the PDF is ready to attach.

Can the PDF include product images?

Yes. The EQUIBOX one includes the isometric view and the floor plan taken from the same 3D render the customer saw, plus photos of the selected accessories.

How much does a system that generates quotes cost?

It depends on how many products, options and pricing rules it has to handle, whether it includes a product image and whether it connects to your sales follow-up. Send me a sample quote over WhatsApp or email and I will send you a fixed proposal within 48 hours.

Your project

If your team wastes time building quotes by hand, send me a sample one (without customer details) and I will tell you how it could come straight out of a system.
