Salon booking system for hair salons and barbershops: a schedule per stylist and fewer no-shows
A salon booking system lets each client book with their own stylist and the service they want, builds the schedule around how long each job really takes and sends reminders so fewer people miss their appointment. It's a schedule designed for a salon, not a doctor's office.

A salon booking system lets each client book with their own stylist or barber, pick the service and see open times without messaging you and waiting for a reply. The schedule knows how long each job takes, and a reminder goes out before the appointment, so fewer chairs sit empty.
The key is that it's built for a salon. A hair salon doesn't run like a doctor's office, and that's exactly where a lot of generic booking apps fall short.
What a generic booking app doesn't get about salons
- Every service takes a different amount of time: a men's cut doesn't take as long as highlights or a keratin treatment. If every slot is the same length, the schedule is wrong.
- Processing time: while the color sets, the colorist can work on someone else. The schedule needs to keep that gap usable instead of blocking her whole afternoon.
- Clients are loyal to their stylist: they don't want “any stylist at 6 pm,” they want Lucy or Mark. Booking starts with the person, not the time.
- Every stylist has their own days: the one who works Tuesdays and Thursdays, the one who only does afternoons, the one who takes January off.
- Some services only certain people do: not everyone does color, straight-razor shaves or bridal styling.
No-shows: the client who doesn't come and doesn't call
In a salon, a missed appointment is an hour of chair time you never get back. And it's rarely on purpose: the client just forgot. So what helps most isn't penalties, it's reminders. The day before, a reminder goes out with the time and the stylist, and the client can confirm or cancel with one tap. If they cancel, the slot opens right away and someone else can take it.
For long services, where one no-show leaves you with an empty afternoon, you can ask for a deposit. And if a client misses often, it shows up in their history and you decide what to do. I wrote about making reminders people actually read in appointment reminder system.
Client cards: the color formula shouldn't live in a notebook
Every colorist keeps a notebook with each client's formula: shade, mix, timing. The day that notebook gets wet or the colorist moves on, it's gone. In the system, each client has a card with past services, the formula used and a note or two (“doesn't like it too short in the back”). Anyone in the salon can look it up.
That same card tells you who hasn't been in for a while. A message at the right time often brings that client back before they get used to another salon.
A real project: appointments and WhatsApp reminders at a dog grooming salon
For Mecohue, a pet shop with a vet clinic and dog grooming salon near Buenos Aires, I built the website with services and WhatsApp booking, plus an internal system with the cash register, appointments and one-tap WhatsApp reminders. The groomers work on dogs, not people, but the problems are similar: every service takes a different amount of time, clients want a specific slot, and a timely reminder prevents the missed appointment.

Salon clients mostly find you on Instagram and Google Maps. The booking link should be in both places, easy to spot, so going from “I like that cut” to “I booked” is a single step. If you also want a website that shows your work, your team and your services, I covered that in website for barbershops and website for beauty salons.
I also build my own products. LeadsLocales is a platform I made that helps agencies and freelancers in Argentina find local businesses by trade and area, salons among them. Browse any neighborhood there and you see how many salons compete for the same clients, which is one more reason to make booking with you the easiest option on the block.
How we'd build it
I work on my own, remotely from Buenos Aires, Argentina (UTC−3), with video calls and progress you can open from a link. We start with your team, your services with their real durations and your opening hours. From there I build a first version, the salon tries it for a couple of weeks, and we adjust whatever needs adjusting. I quote each project separately.
Frequently asked questions
Do my clients need to download an app to book?
No. They book from a link you put on your Instagram, your Google profile or your website, and it opens in their phone's browser. They don't need an account with a password either: a name and phone number are enough.
Can I keep taking bookings over WhatsApp or text?
Yes. Plenty of clients will keep messaging, and that's fine. You or whoever's at the front desk adds the appointment to the same schedule, so it never clashes with one booked through the link.
Does it work for a barbershop that also takes walk-ins?
Yes. You can set which hours or which barbers work by appointment and which stay open for walk-ins, and log walk-in clients in the same schedule so you have a record of the day.
Can I ask for a deposit on long services?
You can. Most salons only ask for one on services that take several hours, like full color or a keratin treatment, not on a haircut. The system keeps track of who paid a deposit and who didn't.
If you run a hair salon or barbershop and bookings are scattered between WhatsApp, Instagram and the front-desk notebook, message me on WhatsApp at +54 9 11 6193-3176 or email contacto@facundocampo.com.ar. I answer in English and Spanish. Tell me how many stylists you have and what services you offer, and I'll tell you how I'd set it up. You can also check my [services](/en/servicios).
