Gym membership software: dues, renewals, capped classes and member messages
Gym membership software shows who's paid up, sends a reminder before each renewal, lets members book capped classes from their phone and tells you which members have stopped coming. It's the difference between finding out about a cancellation after the fact and doing something about it first.

Gym membership software takes care of the three things that eat most of a gym owner's time: knowing who's paid, running classes that have a cap, and telling each member what they need to know. It works for neighborhood gyms with a weights floor, for functional training and cross training boxes, and for studios that live on group classes.
But the real reason to have it is something else. Gyms don't lose members all at once. They lose them one at a time, quietly, and usually find out too late.
The silent cancellation: members who just stop coming
Nobody announces they're leaving the gym. First they come twice a week instead of three times, then they miss a week for work, then they don't renew. By the time you notice, they've joined somewhere else or quit altogether.
Software that tracks attendance shows you that in time: a list of active members who haven't come in for a couple of weeks. With that list, a coach or the front desk sends a personal message (“everything OK? we missed you in Tuesday's class”). It isn't marketing. It's what any coach who knows their people would do, just with the data in front of them instead of from memory.
What each kind of gym needs
| Type | What matters most | What can wait |
|---|---|---|
| Neighborhood gym with a weights floor | Dues, renewals and a check-in record | Class booking, if you only run a few |
| Functional or cross training box | Capped classes, phone booking and a waitlist | Workouts in the system, if the coach writes them on the whiteboard |
| Pilates, yoga or spin studio | Class packs, how many each member has left, and makeups | Front-door check-in |
| Gym with several locations | Members who can use any location, and reports per location | Customizing every location from day one |
Capped classes without the group chat drama
At a box or studio, the 7 pm class fills up and the 10 am one is empty. Today that's often handled in a group chat where people sign up, drop out and argue about who was first. With the software, every class has a cap and members book from their phone. If it's full, they join the waitlist, and when someone cancels, the first person on the list gets a message.
You can see at a glance which times always fill and which ones you might move. And if a member on a class pack books, the class comes off their pack automatically; if they're out, the system tells them before they show up.
Dues and renewals without chasing anyone
The awkward “hey, your membership expired” chat at the front door goes away with a reminder a few days before renewal, ready to send on WhatsApp or by text. The member pays at the desk or by bank transfer, the payment gets logged, and that's it. At the end of the month you see who paid, who's behind and what came in, without combing through transfers one by one.
If you'd also like to reward long-time members or people who bring a friend, I wrote about that in customer loyalty program software.
A real project: payments, appointments and messages in one system
For Mecohue, a pet shop with a vet clinic and dog grooming salon near Buenos Aires, I built an internal system with a cash register, appointments and one-tap WhatsApp reminders. It's a different business, but it's the same logic a gym needs: every payment is on record, every appointment has its place on the schedule, and the message to the customer goes out with one button.

The software is the inside. To get found by new people nearby, you need a website for gyms with your schedule, classes, real photos of the space and a button to book a free trial class. If you're wondering whether to build something custom or use an off-the-shelf gym app, I compared both in custom software vs off-the-shelf.
I also build products of my own, like LeadsLocales, a platform that helps agencies and freelancers in Argentina find local businesses, gyms included, by trade and area. I work on my own, remotely from Buenos Aires, Argentina (UTC−3), with video calls and progress you can open from a link. I quote each project separately.
Frequently asked questions
Aren't there already apps for gyms? Why build one?
There are, and for plenty of gyms they're enough. Custom makes sense when the way you charge or run classes doesn't fit what those apps offer: combined plans, class packs mixed with open-gym memberships, several locations with different rules.
Do members need to download an app?
No. They book classes from a link in their phone's browser and can save it to their home screen if they like. Reminders reach them on WhatsApp or by text.
Can members pay their dues online?
Online payments can be added. But many gyms still take payment at the desk or by bank transfer, and that's fine: what matters is that every payment is recorded and every renewal date is visible.
If you run a gym, box or studio and your dues and classes live in a spreadsheet and a group chat, message me on WhatsApp at +54 9 11 6193-3176 or email contacto@facundocampo.com.ar. I answer in English and Spanish. Tell me how you charge and how members sign up for classes, and I'll tell you where I'd start.
