Digital pet vaccination record: how a vet clinic manages it
Paper vaccination booklets get lost, get wet and never remind anyone when the next shot is due. Here is how a digital vaccination record works on the vet clinic side, what it should include and how I built it for Mecohue.

A digital pet vaccination record is the log of every vaccine given, stored in the vet clinic's system and linked to the pet and its owner, from which you can print a PDF vaccination card at any time. The advantage over the paper booklet isn't just that it can't get lost: the clinic has the full history of each patient and a schedule showing what's due next.
In this post I focus on the clinic side (how it's recorded, what it should include and how it's delivered) using the case of Mecohue, a pet store with a veterinary clinic in Wilde, Buenos Aires, for which I built the clinic management system.
What's wrong with the paper vaccination booklet?
The paper booklet is still the most common way to keep track of a dog's or cat's vaccines, and it works as long as the owner looks after it. The problems show up when it gets lost, when the owner doesn't bring it to the appointment or when the pet is seen in more than one place.
On the clinic side there's a quieter problem: if the record of what was given lives only in the owner's booklet (or on paper cards in the practice), the clinic has no quick way to know what each patient has had or what's due. At Mecohue, before the platform, clinic management was on paper.
What should a digital vaccination record include?
On the clinic side, these are the pieces that make the record genuinely useful:
- Every vaccine linked to a pet. Not a loose list: a record per pet, inside its owner's record.
- Date and details of each shot. What was given and when, entered at the time of the appointment.
- A schedule. To see at a glance which vaccines each patient has and what comes next, according to the plan set by the vet.
- PDF vaccination card. Generated by the system, ready to print or send to the owner, always up to date.
- Connection to the medical history. Vaccines are part of the patient's history, along with consultations, prescriptions and certificates.
- Access from a phone. To check a patient's record without being at the practice computer.
How does vaccination work in Mecohue's system?
At Mecohue, vaccination is one of the modules of the clinic management system. Each owner has a record with their pets, and each pet has its medical history. Vaccines are recorded on that pet, with a vaccination schedule and a card the system generates as a PDF.
Each pet's record brings together its medical history, vaccines, deworming and grooming. The vaccination certificate is sent over WhatsApp, and the reminder for the next vaccine or deworming goes out in one tap: WhatsApp opens with the message ready. Prescriptions and certificates also come out as PDFs, and the “Today” screen shows every visit of the day. Everything lives alongside the shop and the point of sale in a single platform.
The result, in plain terms: every vaccine is linked to a pet, and each patient's history is in one place, accessible from a phone.
See the Mecohue caseWhy generate the card as a PDF?
Because a PDF is a format anyone can open, print or forward without installing anything. Owners can save it on their phone and show it when asked (at a doggy daycare, a groomer or when traveling), and the clinic regenerates it every time there's a new vaccine, without filling anything in by hand.
At Mecohue, the PDFs (vaccination card, prescriptions and certificates) are built by the system from the data entered. That guarantees the card always shows what's on record, in the same format, with no differences between what the system says and what the owner has.
What about vaccine reminders?
Once vaccines are recorded with their schedule, the natural next step is letting the owner know when the next one is due. It's one of the features pet owners value most and one that helps most in getting them back to the clinic on time. I covered it from the owner's side in apps for vet clinics, where I talk about appointments, reminders and medical histories owners can check.
What matters is the order: without a reliable vaccination record, no reminder will work. That's why it makes sense to start with the record and the schedule, and add notifications on top of that foundation.
Paper booklet, spreadsheet or management system?
| Paper booklet | Spreadsheet on the computer | Management system | |
|---|---|---|---|
| Where the record lives | In the owner's hands. | On the practice computer. | In the system, accessible from any device. |
| If it gets lost | The history is lost. | Depends on whether there are copies. | The card is regenerated; the system keeps backups. |
| What's due next | Has to be read by hand. | Has to be looked up. | The schedule shows it. |
| Card for the owner | The booklet itself. | Put together by hand. | PDF generated by the system. |
| Connection to the medical history | No. | Hard. | Yes, in the same patient record. |
Can you have just the vaccination module?
You can, but it rarely makes sense. Vaccines make sense inside the patient record, and the patient record makes sense inside a system that also handles consultations and appointments. What you can do is start with the clinical side (owners, pets, medical history and vaccines) and add the calendar, grooming or the register later.
Which modules are worth having and in what order is covered in management system for vet clinics and pet stores. If your clinic also sells products, in POS system with inventory control I explain how the register works.
How much does it cost?
The digital vaccination record is part of a veterinary management system, which is a custom web system: it has password-protected users, records, PDFs and the clinic's own rules. The cost depends on the scope: which modules you start with, how many people use it and whether you add reminders or the register. If all you need is a website so people can find you and book appointments, it's a different, smaller project; you can see what I build on my services page. Tell me what you need by WhatsApp or email and I'll send you a fixed quote within 48 hours.
Frequently asked questions
What is a digital pet vaccination record?
It's the record of each pet's vaccines stored in the vet clinic's system, instead of (or in addition to) the paper booklet. From that record you can generate a PDF vaccination card to print or send to the owner.
Does it replace the paper vaccination booklet?
It depends on each clinic and on what owners ask for. The most practical setup is for the official record to live in the system and for the card to be generated as a PDF whenever needed, so the information is never lost.
Can the system remind owners when the next vaccine is due?
It can be built. The vaccination schedule already has the information about what's due and when; sending the owner a reminder (by WhatsApp or email) means adding that notice on top of the same record.
